Who is responsible for your information?

For information a school enters to run its operations, the school normally decides why and how that information is used, and SchoolConnect360 processes it to provide the service. SchoolConnect360 decides how it uses information collected for demo requests, subscriptions, account security, support, and its own business administration.

Information we collect

We collect only information needed for a stated purpose. This can include demo contact details; user account and security information; school profiles; student and guardian records; staff information; attendance; fees and receipts; examinations; homework; notices; communications; support records; and technical security logs. A school decides which optional records it needs for its lawful activities.

Why we use information

We do not use student information for third-party advertising, and we do not sell school, student, guardian, or staff information.

Children and guardians

Schools should collect children’s information only for authorised educational, administrative, safety, or legal purposes. Where consent is required, the platform supports recording the linked parent or guardian, the purpose, the notice version, how consent was obtained, and when it was granted or withdrawn. Withdrawing consent does not require deletion where the school must keep a record under law or another valid basis applies.

School workspaces and access

Each school has a separate workspace. Backend tenant checks, role-based permissions, session controls, and audit logs are used to prevent users from selecting another school’s records. Schools are responsible for assigning appropriate roles and removing access when a user no longer requires it.

Service providers and subprocessors

Approved hosting, storage, email, SMS, WhatsApp, payment, monitoring, or support providers may process only the information needed for their service. SchoolConnect360 maintains a subprocessor register, reviews the data involved and processing location, and records contractual and security reviews. Retention and deletion

Information is kept for the period needed for its stated purpose, the school contract, dispute handling, security, and applicable school, tax, employment, or other legal requirements. Retention policies can place records under legal hold or require review before disposal. Approved policies may automatically delete or anonymise eligible old logs and closed privacy records. Core student, staff, financial, and communication records require documented review before disposal.

Security and incidents

Safeguards include encrypted network connections, authentication, tenant isolation, access controls, audit trails, backups, rate limits, and incident records. No system can promise absolute security. Suspected incidents are recorded, contained, investigated, assessed for notification, remediated, and closed with an accountable owner.

Your privacy choices and requests

Subject to identity and authority checks, you may ask for access, correction, an export, erasure, consent withdrawal, or grievance review. A parent or guardian may submit a request for a linked child. Requests receive a reference number and status, and may be rejected or limited where identity cannot be verified or retention is legally required.

Include your school name and enough information to locate the relevant account, but do not send passwords, payment credentials, or full Aadhaar details.
